Name the property and viewing
Start with the full property reference, the viewing date and whether the note concerns one viewer or several. This prevents a polished draft being attached to the wrong matter.
Separate observation from interpretation
State what the viewer said, what the negotiator observed and what the branch wants to do next. Avoid presenting an assumption as a confirmed customer statement.
Include the desired outputs
Say whether the branch needs a viewer thank you, vendor feedback, an alternative property suggestion or an internal note. One viewing event can then produce the agreed follow up set without retyping.
Keep sensitive or high risk content out of routine notes
Complaints, discrimination concerns, legal threats or other high risk matters should be clearly identified and routed for review rather than treated as an ordinary follow up.
